Concierge Service Terms & Client Responsibilities

The Travel Collective LLC provides personalized travel concierge support designed to assist clients with planning, research, recommendations, and booking coordination. By submitting a request or utilizing our services, you agree to the following terms:

1. Nature of Concierge Services

Our concierge services may include:

  • Rental car research

  • Vacation home rental research (Airbnb, Vrbo, Expedia, villas, etc.)

  • Theme park trip planning

  • Full trip design (standard or complex)

  • Custom itineraries (add-on service)

  • Assistance communicating with travel suppliers

  • Recommendations tailored to your preferences

We act as a research and planning concierge, not the service provider of any rental home, hotel, airline, theme park, or transportation entity.

2. Booking Authority

  • Some suppliers allow third-party booking, and some do not.

  • If a platform requires the traveler to book directly (e.g., Airbnb), we will prepare all information needed and guide you through the booking process.

  • You are responsible for reviewing and accepting the supplier’s terms before booking.

3. Client Responsibilities

Clients agree to:

  • Provide accurate traveler information, dates, and preferences

  • Review all quotes and details before confirming

  • Make timely payments to suppliers or to The Travel Collective (if applicable)

  • Comply with supplier rules, house rules, age limits, and identification requirements

  • Carry valid identification, passports, or visas required for travel

  • Maintain travel insurance (recommended but not required)

4. Supplier Terms

All bookings are subject to:

  • Supplier availability

  • Supplier pricing

  • Cancellation terms

  • Check-in requirements

  • House rules (for rentals)

  • Airline, hotel, or theme park policies

These policies may change at the discretion of the supplier.

The Travel Collective LLC is not responsible for:

  • Last-minute supplier changes

  • Weather disruptions

  • Flight delays or cancellations

  • Lost luggage

  • Issues arising from failure to follow supplier rules

5. Custom Itinerary Service

Custom itineraries are an add-on service:

  • Standard Itinerary: $50

  • Complex Itinerary: $100

Custom Itinerary Fees are non-refundable once research begins.

6. Limitation of Liability

The Travel Collective LLC is not liable for:

  • Supplier actions, negligence, or service issues

  • Travel delays, cancellations, accidents, or property loss

  • Acts of nature, strikes, or government restrictions

  • Misuse of accommodations or rule violations

7. Modifications to Services

We may update these concierge terms at any time. Continued use of our services signifies acceptance of the most current version.
